Who You Are 

  • You have a high school diploma or equivalent experience and 1+ year of office support/administrative experience 
  • You communicate clearly and professionally, both verbally and in writing 
  • You are highly organized, detail-oriented, and able to manage multiple priorities under shifting deadlines 
  • You are proactive, take initiative, and can work independently while supporting a team 
  • You maintain discretion and handle sensitive information with confidentiality 
  • You are proficient in Microsoft Office and comfortable typing 50 WPM 

What You’ll Do 

  • Schedule and coordinate meetings, calendars, and travel arrangements for attorneys and practice assistants 
  • Prepare, edit, proof, and format legal documents, including redlining and production 
  • Organize, file, and archive both paper and electronic documents 
  • Assist with billing, expense reports, mailings, and general office correspondence 
  • Support administrative needs such as binder assembly, label creation, and document copying 
  • Enter attorney timekeeping and assist with matter intake or memoranda preparation 
  • Answer calls and relay messages professionally to internal and external contacts 
  • Perform additional tasks as needed to support attorneys, teams, or departmental objectives 

What Success Looks Like 

  • Attorneys and staff have well-organized calendars and timely support for daily operations 
  • Legal documents and materials are accurate, properly formatted, and readily available 
  • Administrative processes such as filings, billing, and mailings run smoothly and efficiently 
  • Internal and external communications are handled promptly and professionally 
  • Tasks are completed independently, accurately, and in alignment with team and firm priorities 

Salary Range:  $55,000 – 75,000 annually, based on experience 

Location: Palo Alto, CA – Fully on site
