Our client, a premiere international law firm, is seeking an Office Services Coordinator to join the team. This position is 5 days a week on-site at their beautiful office in Manhattan. 

Job Responsibilities  

  • Manage the Office Services team and prioritize the team’s tasks daily 
  • Collaborate with other coordinators to provide assistance with meeting room bookings, room stocking, set up, clean up, etc.  
  • Work with Facilities Supervisor to coordinate events and large meetings  
  • Provide support for firm events (set-up, clean-up, etc)  
  • Maintain supply inventory and order as needed 
  • Organize supply rooms, pantries, closets, and storage 
  •  Maintain cleanliness of hoteling offices  
  • Review and submit vendor invoices  
  • Assist with finance related tasks as needed 
  • Develop manuals and guides for the Office Services Department  
  • Maintain electronic records in the document management system 
  • Provide clerical support  
  • Scan and digitize documents  
  • Travel to and liaise with vendors as needed 
  • Place service calls as needed for different facilities needs 
  • Provide Notary and witness services  
  • Perform other duties as assigned  

 

Skills and Qualifications  

  • Bachelor’s Degree 
  • 3 – 5 years of experience, preferably in a law firm, financial services, or other professional services environment 
  • Flexibility to work overtime as needed  
  • Proficient in Microsoft Office Suite 
  • Ability to work across different devices as well as with digitizing tools  
  • Strong interpersonal, written, and verbal communication skills  
  • Ability to lift and carry boxes weighing up to 30 pounds as well as reach shelves up to 8 feet high 
  • Ability to travel to different locations to assist with client and firm needs 
  • Attention to detail and organizational skills  

 

Salary: $80,000 - $90,000 based on experience
