Description
Our client, a premiere international law firm, is seeking an Office Services Coordinator to join the team. This position is 5 days a week on-site at their beautiful office in Manhattan.
Job Responsibilities
- Manage the Office Services team and prioritize the team’s tasks daily
- Collaborate with other coordinators to provide assistance with meeting room bookings, room stocking, set up, clean up, etc.
- Work with Facilities Supervisor to coordinate events and large meetings
- Provide support for firm events (set-up, clean-up, etc)
- Maintain supply inventory and order as needed
- Organize supply rooms, pantries, closets, and storage
- Maintain cleanliness of hoteling offices
- Review and submit vendor invoices
- Assist with finance related tasks as needed
- Develop manuals and guides for the Office Services Department
- Maintain electronic records in the document management system
- Provide clerical support
- Scan and digitize documents
- Travel to and liaise with vendors as needed
- Place service calls as needed for different facilities needs
- Provide Notary and witness services
- Perform other duties as assigned
Skills and Qualifications
- Bachelor’s Degree
- 3 – 5 years of experience, preferably in a law firm, financial services, or other professional services environment
- Flexibility to work overtime as needed
- Proficient in Microsoft Office Suite
- Ability to work across different devices as well as with digitizing tools
- Strong interpersonal, written, and verbal communication skills
- Ability to lift and carry boxes weighing up to 30 pounds as well as reach shelves up to 8 feet high
- Ability to travel to different locations to assist with client and firm needs
- Attention to detail and organizational skills
Salary: $80,000 - $90,000 based on experience
