Our client, a leading asset managemnet firm, is seeking a Temporary Facilities Coordinator (with the potential to go perm) to join their team. The Facilities Coordinator will be responsible for both proactive preventative maintenance and reactive oversight of facilities-related requests, ensuring timely action and resolution through effective use of the ticketing system. This role involves collaborating with building management, external vendors, and various internal teams.

Responsibilities:

  • Basic technical knowledge of HVAC, MEP, lighting control, and building management systems, including the ability to identify and troubleshoot common issues
  • Perform daily sweeps of the workspace to identify areas or items needing repair, replacement, or upgrade
  • Coordinate daily vendor access with building management and security
  • Track and manage the facilities supply ordering process
  • Collaborate with the events team to mobilize event setups
  • Compose detailed reports of facility incidents
  • Use the internal facility tracker/ticketing system to log and update incoming requests
  • Fully manage vendor accounts and coordinate recurring maintenance activities
  • Direct requests to appropriate external vendors and manage service contracts
  • Ensure vendors meet performance indicator timelines set by the Facilities Manager
  • Work closely with the NYC Facilities Manager to troubleshoot and resolve facility issues
  • Conduct regular checks on the status of building equipment and systems, coordinating repairs as necessary
  • Assist with office moves and renovation projects
  • Maintain flexibility with work hours
  • Perform other duties as assigned by the Facilities Manager
  • Pay Rate: $38-$45 an hour, based on experience.

Qualifications:

  • BA or BS preferred
  • 3-5 years of experience in a corporate facilities or customer service role
  • Strong understanding and interest in facilities operations
  • Proficiency in Microsoft Outlook, Excel, and Word
  • Ability to work independently and as an effective team player with people of all levels
  • Analytical ability to synthesize information and summarize issues
  • Highly self-motivated with integrity and professionalism
  • Strong written and verbal communication skills with attention to detail
  • Ability to lift at least 50 lbs
  • Ability to thrive in a fast-paced work environment, prioritize competing demands, and meet deadlines
  • Superior customer service skills, with a collaborative and positive attitude
