Our client, a leading private equity firm, is seeking an experienced Executive Assistant to provide comprehensive support to the CFO/Partner and a Managing Director. In this role, you will demonstrate strong organizational skills to keep executives focused on priorities, manage complex calendars, and proactively address scheduling conflicts.

Responsibilities:
- Ensure executives remain focused on priorities with no details overlooked.
- Serve as a gatekeeper for the CFO/MD, asking insightful questions and anticipating the impact of decisions on time management. Use discretion to seek input when necessary.
- Manage complex business calendars, vet invites, and prioritize meetings, both internally and externally, ensuring seamless logistics and technology setup.
- Rearrange the calendar proactively, considering travel delays or meeting overruns.
- Use sound judgment to balance conflicting priorities.
- Act as a trusted thought partner, identifying issues and offering recommendations when appropriate.
- Prepare monthly detailed and timely expense reports, adhering to the firm’s compliance and T&E policies.
- Answer and screen phone calls, respond to routine inquiries and elevate issues when necessary.
- Develop direct relationships with senior executives and team members.
- Handle minimal international and domestic travel arrangements a few times annually, preparing comprehensive itineraries and adjusting travel plans as needed.
- Maintain a high level of confidentiality given the sensitive nature of information involved in the role.
- Oversee documents requiring the CFO’s signature, with the judgment to sign on their behalf when appropriate.
- Proactively support the finance team’s reporting deliverables and deadlines.
- Work closely with other Finance Team EAs and EAs throughout the firm.
- Plan conferences, events, and dinners, managing invites, budget, venue, and logistics.

Skills & Experience:
- Advanced skills in Microsoft Office, with a focus on Outlook, Calendar Management, Teams, OneDrive, Adobe, and PowerPoint.
- Self-driven and results-oriented.
- 5-7 years of Executive Assistant experience.
- Notary Public certification is preferred but not required.
- Bachelor’s Degree preferred.

Salary Range: $115,000 - $140,000, based on experience.
